Collective Data, based in Cedar Rapids, Iowa, has moved its Collective Intelligence Suite from early access to general availability, making three embedded artificial intelligence tools accessible to all customers on its government and public safety fleet management platform.
The suite comprises three tools: AI User Guide, Ask Anything and Document Intelligence. AI User Guide answers questions about platform features directly inside the interface, drawing from product documentation without requiring users to leave their workflow. Ask Anything lets users query live operational data in plain language, returning AI-generated responses that can include activity summaries, identification of potential work order comebacks with supporting explanations and on-demand daily or weekly operational snapshots. Ask Anything also provides access to AI User Guide content within the same prompt. Document Intelligence processes documents, with work order matching among its demonstrated applications.
Collective Data first previewed the suite at the NAFA Fleet Management Association 2026 Institute & Expo. A select group of customers then used the tools during an early access period, and their feedback shaped how the tools handle document accuracy, work order matching and user guidance before the wider rollout.
Early access customers reported work order creation time cut by approximately 80%, reducing tasks that previously took 15 to 30 minutes down to a few minutes, according to the company’s announcement.
“Every organization we work with is being asked to do more with the same headcount,” said Jason Wonase, CEO of Collective Data. “The Collective Intelligence Suite gives our customers the tools they need to handle the manual work that used to eat up their day, from data entry to finding answers buried in reports. That time goes straight back into the work that matters, whether that’s keeping vehicles on the road or getting equipment where it needs to be.”
Collective Data said customers can start with AI User Guide and add Ask Anything and Document Intelligence as their needs grow. The company holds a Sourcewell cooperative contract and a statewide Virginia contract for fleet and asset management solutions, giving public agencies established procurement paths to the platform.
The company said future development will expand Document Intelligence to document types beyond work orders and add intelligent data importing and additional AI-assisted workflow configurations. Pricing and specific contract numbers for the Collective Intelligence Suite were not included in the announcement.
