Stretched thin by a driver shortage, K-12 transportation offices have been managing dispatch, ridership tracking, field trips and parent calls across tools that don’t talk to each other. Zonar’s answer is a rebuilt version of Bus Suite, its web portal for school district transportation teams, reoriented around the dispatcher’s workflow rather than the software’s architecture.
Bus Suite unifies GPS fleet tracking, routing, dispatch, student ridership verification, field trip management and parent communication in one system built on decades of Zonar hardware. Turn-by-turn navigation and field trip management are included as standard. The Enterprise tier adds Zonar Z Pass RFID ridership, where each student boarding generates an automatic, timestamped record tied to the specific run. Because Zonar builds its hardware and software in-house, the company said, what staff see in Bus Suite reflects what is actually happening on the route.
Zonar said district staff reported that their tools slow them down at the exact moments those tools need to work hardest, and that Bus Suite was built for the dispatcher covering a driver shortage at 7 a.m. and the director who needs a full picture of the day before the first bus leaves the yard, giving them a complete operational picture in one place to help solve problems faster and keep students moving safely and reliably.
Several capabilities anchor the rebuild. The Route Utilization Dashboard pulls AI-suggested schedule adjustments from actual route history, shows where a schedule is drifting stop by stop, requires a confirmation step before any change goes live and limits edit access by role. The Field Trip Module takes a trip request from initial cost estimate through approval, vehicle capacity tracking and final billing export, replacing what Zonar described as days of emails, spreadsheets and phone calls. An updated Live Map adds more accurate stop detection and eliminates manual check-ins, giving dispatchers a real-time position for every bus and rider from a single screen.
The 2026 Zonar State of Student Transportation report found that 75% of districts cited hiring and retaining drivers as their top operational challenge, and that 46% named student-ridership verification a top investment priority for the year, the largest adoption gap in the study. Monongalia County Schools, which manages more than 11,000 students and nearly 1,000 field trips each school year, uses the field trip module. Tony Harris, Director of Transportation at Monongalia County Schools, said the system has proven essential to handling every aspect of the process, from trip requests and approvals to driver assignments and billing. “Zonar has been instrumental in enhancing the field trip module to ensure it provides the functionality school districts need,” Harris said. “The willingness to collaborate with school transportation professionals has resulted in a field trip module that is practical, efficient, and continues to evolve to meet the real-world needs of our district.”
