Work Order (WO)

A work order is the unit the whole maintenance operation is measured in. Nothing a shop does exists, financially or historically, until it is on one.

That matters more in a public fleet than it sounds, because the work order is where cost is attached to an asset and to a department. It is the record that lets a fleet answer why a particular unit costs what it does, defend a replacement request with history rather than opinion, and bill a using department for work done on its vehicle. A shop where quick jobs get done off the books is a shop that cannot make any of those arguments later, and the vehicles that get the most informal attention are usually the ones whose recorded history looks best.

A usable work order separates labor from parts, distinguishes scheduled work from repair, and records the reason for the visit rather than only the fix. That last field is the one most often left blank and the one that makes failure patterns findable a year later.
